In this article we will review the procedure for Adding a New User. After a facility goes live, this will be managed at the community Level.
Description
Below you will find the steps for Adding a New User.
Step 1: Select the Waffle Menu.
Step 2: Select User Maintenance.
Step 3: Select + New User.
Step 4: From the drop down choose the appropriate Domain, there may only be the facility option available.
Step 5: Enter the user’s First Name, Middle Initial (if available), and Last Name.
Step 6: In the Name Suffix field, enter the user’s license if appropriate (RN, LPN, LVN, MD).
Step 7: Initials will automatically be recommended based on the first name, middle name (if provided), and last name.
Step 8: If applicable add Employee ID (optional)
Step 9: Username will be the user’s login. Aline recommends using the first letter of the first name and the complete last name. Use lowercase letters.
Step 10: Enter a temporary password in the Password field. This will be the password the user logins in with the first time. They will then be prompted to change their password.
Step 11: Enter the same password in the Re-Type Password field.
Step 12: The E-mail and Badge ID fields are optional. If the community is required to authenticate administrations, the user’s badge ID must be filled in.
Step 13: Select Groups and select the community name to assign all locations to the user or select the + icon to assign the user access to only specific locations. (Multiple locations can be selected.)
Step 14: User Type should be selected from the drop down, if you are entering a staff person at a community you will choose facility. (Required)
Step 15: Restricted by Resident, if Yes, displays a drop-down to limit the user’s resident access. Use the drop-down to select the residents this user can access, for example, a doctor would be limited to their residents only.
Step 16: Select Role from the drop down.
Step 17: Select Save.
Aline eMAR (ACCUflo) Process for Creating Initials
Note: ACCUflo will follow the steps below when trying to create initials. Initials are based on the domain the user is being added to. To ensure the Initials suggestion is valid, please select the domain the user is being created on before filling out any of the other information. If the First Name, Middle Name (Initial), Last Name are provided all steps are applicable, if only First Name and Last Name are provided ACCUflo will start at step two. Step 1: Attempt to create initials from the first initial, middle initial and last initial. Step 2: If that combination is taken then create initials from first initial, last initial and number sequence (0-9). Step 3: If all possible combinations are used then create initials using first initial, last initial, special character (!, #,$,%, &). Step 4: If all possible combinations are used then create the initials using number sequence (0-9), first initial, last initial. Step 5: If all possible combinations are used then create the initials using special character (!, #, $, %, &), first initial, last initial. Step 6: If all possible combinations are used then create the initials using first initial, number sequence (0-9), last initial. Step 7: If all possible combinations are used then create the initials using first initial, special character (!, #, $, %, &), last initial.
